We have compiled answers to frequently asked questions that you may find helpful.




How can I cancel my registration?

All pre-registrations must be completed on or before Friday, October 4, 2019. On-site registrations are subject to a surcharge.

Refunds, minus a $75 administrative fee for Physician registrations and $25 administrative fee for Resident and Medical Student will be issued on written cancellations received on or before Friday, September 27. Phone cancellations WILL NOT be accepted. Registrants assume full responsibility for notification to and verification of receipt by AWS. Refunds will be processed 2-3 weeks after the meeting.

What's included with my conference registration?

Included in your registration, you receive a full day of educational programming, plus access to our Surgeon’s Lounge featuring a variety of medical and lifestyle vendors. Saturday’s breakfast, lunch, and an evening reception are also included, as well as the Networking Breakfast on Tuesday morning.

What forms of payment does the onsite registration desk accept?

Onsite we accept cash, check, MasterCard, Visa, and American Express. We highly recommend registering in advance, as on-site registrants are subject to a $25 on-site fee.

Can my spouse attend?

Spouse/guests are welcome to attend the AWSF Awards Dinner but must be registered to do so. There is an optional ticket purchase for spouse/guests during the Awards Dinner registration.

What is the appropriate attire?

Dress for all functions is business casual. Remember that meeting rooms tend to be cool, so dress in layers. For the AWSF Awards Dinner, the attire is formal.

Will there be any form of accommodations for attendees that require accessibility?

We are pleased to make arrangements for attendees' special needs. Please email in advance of the conference.

Will there be a coat check onsite?

We offer coat racks outside the general session room near registration during registration hours. Items are left at the risk of the individual.

Will there be a Mother's Room at the meeting?

Yes, attendees may utilize a Mother's Room throughout the conference by visiting the Bell Desk and requesting access to a secure space located on the first floor of the hotel.

Will there be a printed program or other materials available onsite?

To further AWS's sustainability commitment, there will be no onsite printed program or bag. For a full meeting schedule and other resources, download the meeting mobile app.

Water will be offered at water stations, eliminating unnecessary plastic from water bottles. All attendees will receive a reusable, branded AWS mug to fill up on coffee or tea throughout the day! Additionally, attendee badges are made from eco-friendly material and re-used when possible.

Should I purchase travel insurance?

In the rare event of a meeting cancellation, AWS is not responsible for nor will provide refunds for costs associated with travel, airfare, hotel or transportation costs incurred by the registered attendee. It is always recommended that the registrant considering purchasing independent travel insurance.

Where should I book my hotel stay?

The 2019 AWS Conference location will be held at the Parc 55 Hotel.

How can I obtain a copy of the presenter handouts/slides?

If a presenter has chosen to share his/her slides, they will be made available to attendees post-conference.

How can I claim my CME credit?

AWS partners with the American College of Surgeons to offer CME. Instructions to claim credit will be made clear prior to conference.




Where is the AWS Networking Breakfast on the 29th being held?
